Show the client where the money went.
Most jobs end with the customer asking what it cost. The Client Expense Report and the Job Report answer from the receipts you already photographed. No spreadsheet, and no Saturday spent with a carrier bag of paper.
The Client Expense Report
Every cost you carried for one client, on one job or all of them, for any period. For a builder working cost-plus or open-book, it is the billing conversation. For a mobile trade, it answers "what did the parts come to?" at the door.
- The client and your business name on the document
- Which jobs are included, and over what period
- Totals across jobs, with each job’s share
- Category and supplier breakdowns
- The full receipt list, optionally with every line item
- Warnings before you send it, including jobs with no receipts at all
The Job Report
The complete file on one job, built to hand to a client or an accountant.
- Budget progress: spent, remaining, percentage used
- Cost by category, and what you spent at each supplier
- The top materials bought, with quantity, average unit price and main supplier
- Every receipt, with invoice numbers
- Receipts recorded before the start date or after the end date
- Internal notes stay off the export unless you choose to include them
It tells you what to fix before you send it
Both reports list what is missing before you hand them over: receipts with no image or no invoice number, receipts still uncategorised, and items without a price. The Job Report also lists unassigned receipts dated inside the job. Fix those first so the document holds up.
A job per phase, one document per client
Jobs are flat, with no phases or cost codes. On a multi-phase build the pattern is one job per phase, all under the same client, and the Client Expense Report rolls them into one document.
PDF or CSV, on Pro
Both export as a PDF for the client and a CSV for a spreadsheet, and both are on the Pro plan. Knowing what a job has cost is free on every plan. Pro is for the document you hand over.
About client reports
Can the client see my internal notes?
Not unless you choose to include them. Internal notes are left off the export by default, so forwarding a report is safe.
Does it show what I charged the client?
No. It shows the costs you carried, taken from the receipts. There is no revenue, markup or invoicing in the app, so the report is a record of cost, not a bill.
Which plan are these reports on?
Pro. Jobs, budgets and live job costs are free on every plan. The Job Report and the Client Expense Report are the Pro documents.
